Fight Spam with Gmail Blog Post ImageEveryone on the internet has had to deal with spam emails at least once. I know I have, but I will show you in this article how to fight it with one of the best spam stopping clients on the internet, Gmail. I know, you are saying, I have my own email account, why would I need Gmail?. Well, with this method I am about to show you you can use the power of Gmail's spam blocking technology to help you block spam with you yourname@domain.com account.

This is an easy setup for getting your email to forward in Cpanel and forward in Gmail. So, basically, you receive and email from a customer at contact@domain.com. This email does not come straight to you, but instead gets forwarded to your email@gmail.com account to be check for spam, if it is spam it is blocked and placed in your Spam folder, unless you tell it not to. If it is not spam it is forwarded to your catachall@domain.com email address and can be retrieved in Outlook or Thunderbird or which ever client you use.

This is a great way to keep backups of email, or retrieve your email from any computer in the world that has access to Gmail. The spam messages are kept in a spam folder for your review that is automatically deleted after 30 days unless you say otherwise. I have been using it for many months now and have only had maybe two false positives. So I regularly check my gmail, but I have never received spam email in my Outlook client. This article is a must read for anyone tired of spammers.

Create the Catch All Email
Login to your Cpanel account and go to the "Email Accounts" icon. Once you are in the "Add a New Email Account" screen you will create an email account to catch everything. This email account will not be seen by anyone but Gmail, so don't use any email accounts you already have established. For example, this catchall@domain.com should be the email that your contact@domain.com and support@domain.com should forward to in the next step. If you use an email that you use on your website like contact@domain.com you will get duplicates sent to you.

If you have any mail addresses other then the catchall@domain.com you should delete them asap or you will receive duplicates. Don't worry, the addresses will still work, but only as forwarders to the Gmail account that you create, but we will get to that later.

Create the Forwarders
Go back to your Cpanel home page and select the "Forwarders" icon. Once you are in the "Email Account Forwarders" screen you need to click the "Add Forwarder" button and fill in the required info. This is where you would use your previously established emails like the contact@domain.com and the support@domain.com to be forwarded to the Gmail account you will create in the next step. You can forward all email addresses you have.

Create Gmail Account or Access Existing One
We do not need to show you how to do this because if you are reading this then you are aware of how to setup a Gmail account. If not then Google is pretty good about explaining it. So if you have not setup an account, you need to setup one then continue to the next section. If you have setup one already then you can continue to the next section.

Setup Forwarder in Gmail
This section shows you how to setup the Gmail account to get all emails sent to your accounts that you established as forwarders in the previous sections. Make sure your Gmail account and the Gmail account you used in the Cpanel forwarder are the same. After you have verified that you need to click the "Settings" link on the top right of your Gmail account.

This will bring you to a tabbed display with at least one option being "Forwarding and POPO/IMAP". Click that link to see a section that displays all of your current forwarding options. NOTEYahoo charges for this service, Google does not. Select the option "Forward a copy of incoming mail to" and put your catchall@domain.com email address in the textbox. I also keep a copy in my Gmail inbox, but you do not have to do this.

Setup Email Client
In the following I show you how to manually setup Thunderbird to retrieve the Gmail emails (which in turn retrieves your domain emails). This step can be done with your Gmail account. If you look at the bottom you will see a "Configure your email client" link, if you want Google to show you how to setup your client then use that. Also I am setting the email account in Thunderbird, setup in Outlook is not very different, so you can use the same steps practically.

First, open Thunderbird and go to Tools > Account Settings. Once there you can edit your account settings. As seen in the image below you can insert the email address you want all outgoing mail to come from. Even though the email is being sent by Gmail, with this part you can make it come from email1@domain.com (contact@domain.com) with your Organization and Name in the header.

After you type in the Domain information you need to click the Server Settings link and type in the appropriate information into the text boxes. You can see the information you will need in the second image down. The server name is pop.gmail.com with a port setting of 995. Your user name is the Gmail email name you setup. In this case, "email" of the email@gmail.com address.

After you setup the server settings you need to setup an "Outgoing Server" where you will setup the outgoing server settings like we have in the final image. Just add a new account and set it up just like we have it in the image. Also make sure that your "Outgoing Server (SMTP)" in the first part of this sections matches the information you put in this part.
